When calling and requesting a record, the caller must provide us with the company name, account number, the caller's name, and the caller's personal identification number. Once the caller has been approved he/she will be asked for the box nubmer, and a short description of the file. This information will be input into our computer, which will give us the exact location of the carton. We will then go pull the carton, having it ready for you to pick up, or for our delivery. When the carton is pulled, it will be scanned, letting us know that the box has been pulled.
You may request a full box, or just a record out of a box. When an individual record is requested, we will place a barcode on the record. This barcode corresponds to the box number, so that when the record is returned, we will know exactly where it goes.
Our normal deliveries are between 8:00 A.M. and 5:00 P.M. If a record is requested before noon, it will be delivered by the end of the business day. If the record is requested after noon, it will be delivered by noon the following business day. If you request a RUSH order, the item will be delivered within 75 minutes or it is free.
Each carton that we receive for storage will be assigned a barcode. This barcode will correspond with the appropriate box number in our computer system. Every row on every shelf will also be assigned a barcode, representing the location. When a carton is placed in storage, we will scan the carton, then scan the location. We will then download the information from our scanner to our computer, so that we will know at all times where each carton is located. This ensures quick and easy access to your records.
